Signs your business has outgrown Excel

Your business has outgrown Excel when several people depend on the same sheets and the sheets stop agreeing: two stock figures for one item, invoices retyped between files, formulas only one person understands, approvals lost in WhatsApp, month-end reports rebuilt by hand. One sign is a nuisance. Two that touch money or stock mean it is time to move.

Eight signs Excel has become the problem

Excel is not the problem on its own. It is the best tool there is for one person working through numbers. The trouble starts when a growing team uses it as the shared record of stock, billing and approvals. These are the signs we see most often when a trader, distributor or manufacturer asks us whether it is time to move.

What each sign costs, and what replaces it

Tick the rows that describe your business today. One row is a nuisance you can live with. Two or more rows that touch money or stock usually mean the sheets are costing more than a system would.

When to move, and when Excel is still fine

Move if you are a growing trader, distributor or manufacturer where three or more people edit the same stock, billing or order sheets and the numbers have started to disagree. Varisya fits because we migrate what is already in those sheets into the Nidhi Suite, run Excel and the new system in parallel until the numbers match, and then keep customising it under an annual retainer.

Stay on Excel if one person keeps one file and nothing gets lost. A small shop or a solo consultant may not need an ERP yet, and we will say so in the assessment. If you only need simple GST billing with no stock, approvals or multiple users, a basic billing app is a cheaper answer than a migration.

If your sheets sit around Tally ERP 9, Busy, Marg or SAP Business One, the spreadsheets usually exist because the old ERP stopped keeping up. Read legacy ERP migration as well, because both normally move together.

What to do next

Moving off Excel without retyping anything

The move starts with a free assessment of the sheets your business runs on. Each sheet is mapped to its Nidhi module, its data is migrated, Excel and the Nidhi Suite run side by side until the numbers match, and then the annual retainer covers ongoing customisation and support. The full process is on the Excel to automation page.

Migration is included in every plan. Plans are annual, exclude GST and include unlimited users: Essential from ₹39,000/year, Professional ₹79,000/year, and Enterprise custom from ₹1,49,000/year. See the pricing page for what each plan includes, and the guide to outgrowing Tally and Excel if an old ERP is part of the picture.

Common questions

Frequently asked about outgrowing Excel

How do I know if my business has outgrown Excel?

Look at who depends on the sheets. If several people edit copies of the same stock or billing sheet, invoices are retyped from one file into another, approvals happen in WhatsApp, or month-end reports are rebuilt by hand, Excel has stopped being a tool and become the system the business runs on. Two or more of these that touch money or stock is the usual point to move.

We only have 10 people. Isn't Excel enough for a business our size?

It can be. Size is not the test; how the sheets are used is. If one person keeps one file and nothing gets lost, stay on Excel. If three of your ten people edit the same stock or billing sheet and the numbers disagree, you have the problem a larger business has, just earlier.

We moved to Google Sheets so everyone sees the same file. Does that solve it?

It solves the copies problem, not the rest. A shared sheet still will not raise a GST invoice, flag low stock, record who approved a discount, or stop someone overwriting a formula. Those are the steps the Nidhi Suite automates.

What replaces Excel for a growing Indian business?

For most trading, distribution and manufacturing businesses it is an ERP that covers stock, billing, accounts and approvals on one set of data. Varisya moves Excel-run businesses onto the Nidhi Suite: stock sheets into Nidhi Inventory, billing sheets into Nidhi Billing and Nidhi Books, supplier lists into Nidhi Vendor Management, and approval emails into workflows.

If we leave Excel, do we have to retype years of data?

No. Item and party masters, opening balances, stock on hand, outstanding invoices and open orders are mapped and migrated from your sheets into the Nidhi Suite. How much older history to bring across is agreed in the assessment, and your original Excel files stay with you.

How much does it cost to move off Excel with Varisya?

Migration is included in every plan. Plans are annual and exclude GST: Essential from ₹39,000/year, Professional ₹79,000/year and Enterprise custom from ₹1,49,000/year, all with unlimited users.
